Notice to Parents and Students (Regular In-person Course)

1. Payment Methods and Tuition Fee Validity

* Parents or students will receive an electronic invoice two weeks before the start of each course (ten lessons) via WhatsApp. Please make the payment within one week after receiving the invoice. After the payment, parents or students will receive an electronic receipt via WhatsApp within one week.

  • The tuition fee for each course is valid for 4 months. If a course cannot finish within 4 months because of the student(s) asking for leave or suspending the lessons (except for the leaves asked by teachers and public holidays), the tuition fee for the remaining lesson(s) will expire, and no make-up lesson(s) will be provided. If there are any special circumstances, please contact us for further discussion.

2. Ask for leave

  • When collecting tuition fee for each package, we will confirm the expected dates and times of 10 lessons with the parent or student. Once the dates and times for the 10 lessons are confirmed by the parent or student, we will ask the teacher to reserve those specific dates and times. If a leave request or a change in the confirmed class schedule is needed, please notify us at least 7 days in advance. For example, if asking for leave or changing time for the class on January 8, please contact us on or before January 1.
  • In each 10-lessons package, we can accept up to 2 leave requests with less than 7 days’ notice. Starting from the 3rd leave request with less than 7 days’ notice (including personal leave and sick leave), we are unable to provide makeup classes, postpone classes or issue refunds. Please take note of this policy.
  • The 2 leave requests with less than 7 days’ notice in each 10-lessons package must still adhere to the following conditions: Personal leave requests must be submitted at least 3 working days in advance, and sick leave or emergency leave requests must be submitted at least 2 hours before the class starts. Failure to comply with these notice periods will be considered as no leave request, and we are unable to provide makeup classes, postpone classes or issue refunds. Please take note of this policy. After asking for leave, the originally scheduled lesson will be postponed to the next lesson.
  • If there are multiple students from the same family enrolled, the leave count will be calculated separately for each student, and each class of each student is subject to all leave policies.
  • You can ask for leave by phone call or WhatsApp. (i) By phone call, please DO NOT leave voice messages. (ii) By WhatsApp, the leave application will only be done after having our reply.
  • If student is unable to attend the lesson without asking for leave, parents or students still have to pay for that lesson, and no make-up lesson(s) will be provided.
  • Teachers are also required to submit their leave requests at least 7 days in advance. We can only accept up to 2 leave requests with less than 7 days’ notice from teachers in each 10-lessons package. If the teacher needs to take personal leave, parents or students will be notified at least three working days beforehand. If the teacher takes sick leave, parents or students will be notified around two hours before the lesson.

3. Cancellation Policy For Group Courses

(Not applicable to 1-on-1 course)

  • Each student can apply for a total of 1 personal leave/sick leave for each group course (each course 10 sessions in total), and the tuition fee of that session which is already asked for leave will be used in the next course. If the student doesn’t enrol in the next course, it will be regarded as a waiver of the paid fee for that session.
  • If students ask for 2 or more personal leave/sick leave for each group course (each course 10 sessions in total), only the tuition fee of 1 session can be used in the next course. The tuition fee of the other sessions which are not attended cannot be used in the next course or refunded.
  • If any students from the group course ask for a leave, we cannot provide make-up class(es) for them. However, if all parents or adult learners agree, we can postpone the session for the whole group when a student cannot attend the class.

4. Reminders

  • Student is requested to take lessons on time. If student is late for the lesson, teacher will still end the lesson on stated time. This aims to protect the rights of other students.
  • Parent, domestic helper or student needs to sign on the lesson record sheet after every lesson. (Not applicable to online course)
  • Teacher may use students’ own toys as teaching aids.
  • Teacher is off on HKSAR public holidays.
  • In-home tutoring service will be cancelled and the lesson will be postponed under inclement weather conditions, for example Typhoon Signal No.8 or a Red / Black rainstorm warning is issued. (Not applicable to online course)

5. Change The Confirmed Lesson Schedule

  • Please notify us at least 2 weeks in advance if you would like to change the confirmed lesson schedule (example: originally confirmed to have classes on every Monday, but would like to change to every Wednesday). (Except for force majeure events and occasionally asking for leaves.) Otherwise, we may not be able to arrange the lessons and the course will be temporarily suspended. If there are any special circumstances, please feel free to let us know and we are willing to discuss the arrangement with you.

6. Termination (Not applicable to short-term course)

  • If you are planning to terminate the course, please inform us at least one month before starting a new course (ten lessons).
  • The tuition fee will not be refunded, except for force majeure events.

7. Epidemic Prevention Measures (Not applicable to online course)

  • If student, teacher or family member of both parties has a fever, he or she must notify each other immediately. Lessons will be temporarily suspended from the notification date.
  • The lessons will be suspended or changed to online if the teachers or students or their relatives have the risk of having Covid-19.

8. Financial difficulties

  • If you are facing financial difficulty, please feel free to let us know. We are willing to give a helping hand. We are Christians. May our LORD we trust show you His favour and be gracious to you.
